3. How we use your information
| Purpose | What this involves |

| Payments and invoicing | Processing payments, issuing receipts and invoices, and handling refunds. |
| Communication | Responding to enquiries, sending service updates, maintenance notices and renewal reminders. |

4. Payment information
Payments on our website and in our products are processed by Paystack, a licensed payment service provider. When you pay, your card or mobile money details are entered on Paystack's secure systems and sent directly to them.
Pharez Technologies does not collect, see or store your full card number, CVV or mobile money PIN. We receive only a transaction reference, the amount, the payment status, and limited details such as the last four digits of a card, which we use to match payments to invoices.
Paystack processes your payment data under its own privacy policy and is certified to the PCI DSS security standard. We recommend reading Paystack's privacy policy at paystack.com/privacy.
5. Our legal basis
We process personal data under the Data Protection Act, 2012 (Act 843) of Ghana. Depending on the situation, we rely on:
- Performance of a contract — to deliver the services you have ordered.
- Consent — for marketing emails and non-essential cookies, which you can withdraw at any time.
- Legal obligation — to keep financial records and comply with the law.
- Legitimate interest — to secure our systems, prevent fraud and improve our products, balanced against your rights.
6. CCTV and security systems
When we install CCTV, access control or remote monitoring systems, footage and access records are captured on equipment that belongs to the customer, at the customer's premises.
In those cases the customer is the data controller for that footage and is responsible for using it lawfully, including displaying notices where recording takes place. Pharez Technologies acts as a service provider and only accesses footage or system logs when the customer asks us to, for installation, maintenance, fault-finding or support.
We do not store, copy or review customer footage for our own purposes.
7. Data you store in our products
If you use a product such as MyPOS, you may store information about your own customers, staff, sales and inventory in it. That data belongs to you. We process it on your behalf, only to run and support the service.
As the business using the product, you are responsible for collecting that data lawfully and for having your own privacy notice for your customers. We will help you export or delete your data if you ask.
10. How long we keep data
We keep personal information only as long as we need it:
- Enquiries that do not become projects: up to 12 months.
- Customer account and project records: for the life of the relationship, then up to 6 years.
- Invoices and payment records: at least 6 years, to meet tax and accounting requirements.
- Website analytics: normally up to 26 months.
When we no longer need data, we delete it or anonymise it so it can no longer identify you.
11. How we protect your data
We use appropriate technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls and role-based permissions, password hashing, regular backups, and limiting staff access to what each person needs for their job.
No system is completely secure. If a breach occurs that is likely to affect your rights, we will notify you and the Data Protection Commission as required by law.
12. Your rights
Under Ghana's Data Protection Act, you have the right to:
- Ask what personal data we hold about you and get a copy of it.
- Have inaccurate or incomplete information corrected.
- Ask us to delete your data, where we have no legal reason to keep it.
- Object to processing, including direct marketing.
- Ask us to restrict how we use your data while a concern is being resolved.
- Withdraw consent at any time, where our use is based on consent.
To exercise any of these, email phareztechnologies@gmail.com. We respond within 30 days and may ask you to confirm your identity first. There is no charge unless a request is repetitive or excessive.
If you are not satisfied with how we handle your request, you can complain to the Data Protection Commission of Ghana at dataprotection.org.gh.
13. International transfers
Some of our providers — hosting, email and payment services — operate servers outside Ghana. Where your data is transferred abroad, we make sure it stays protected through the provider's contractual commitments and recognised safeguards.
14. Children's privacy
Our services are meant for businesses and adults. We do not knowingly collect personal information from children under 18. If you believe a child has given us personal information, contact us and we will delete it.
15. Changes to this policy
We may update this policy as our services or the law change. The date at the top shows the latest revision. For significant changes we will notify customers by email or with a notice on this site.
